CAORC Program Assistant
The Council of American Overseas Research Centers (CAORC) is a nonprofit consortium of independent overseas research centers which promotes scholarship, education, and international dialogue (www.caorc.org). CAORC member centers maintain a permanent presence in the host countries where they operate—in Asia, Europe, Latin America, the Middle East, North Africa, and West Africa
CAORC seeks to hire a Program Assistant to support CAORC’s programs and participate in managing certain initiatives. This is a varied role and provides the opportunity to learn about different types of international non-profit programs and activities. We are a small team based in Washington DC and we work with an extended network of colleagues overseas.
Program Assistant Primary Responsibilities
Manage CAORC’s monthly highlights initiative, which is an internal newsletter that connects the network of overseas research centers by sharing interesting activities/events with one another
Assist with updating and developing CAORC’s website and contacts for the external e-bulletin
Assist with managing CAORC’s initiative to maintain and develop an online grants portal, which is used by CAORC and several overseas research centers to administer fellowship competitions
Manage several small-scale activities on behalf of one of CAORC’s overseas research centers, including tracking membership, responding to applicant inquiries for a grant program, and tracking fellows’ activities
Provide programmatic and administrative support to CAORC programs, including, but not limited to:
Assist with the peer review process for the CAORC fellowships including organizing applications, creating, and formatting spreadsheets in Excel, scheduling review committee meetings, etc.
Assist with preparing award documentation and maintenance of files and documents
Faculty Development Seminars
Assist with the peer review process for the Faculty Development Seminars including organizing applications, creating, and formatting spreadsheets in Excel, scheduling review committee meetings, etc.
Assist with pre-departure activities including helping with seminar documents, liaising with travel agency to arrange travel, etc.
Provide general support for the office:
Serve as a backstop for answering the main telephone line and greeting visitors to the CAORC office in the absence of the Administrator
Help maintain the office calendar
Assist with and attend CAORC events
Undergraduate degree or equivalent qualification
An interest in international affairs and other cultures
Experience in administration and/or operational tasks is desirable
Tech-savvy: experience with online systems is desirable (can be databases, online grants administration software, website design, or other relevant software)
Proficiency in Microsoft Word and Excel
High degree of organization and initiative
Flexibility in managing different priorities
Ability to maintain professionalism under pressure
Ability to work both independently and as part of a team
Strong analytical and problem-solving skills
Strong communication skills, both written and vocal, as well as excellent listening skills
Ability to communicate effectively with cultural sensitivity and with different audiences
Job Type, Salary, and Benefits
This is a full-time job (40 hours a week). CAORC provides a competitive salary and benefits package that includes medical, dental, vision, a flexible spending account, and retirement benefits. CAORC offers paid time off for vacation, sick leave, and holidays (including all federal holidays). There will also be some opportunities for professional development including attending events, lectures, and conferences.
CAORC’s office is based in Washington D.C. and is centrally located. The closest metro stations are Archives-Navy Memorial, Federal Triangle, and Smithsonian. We are temporarily teleworking due to the pandemic. Interviews will be held virtually via Zoom.
